This Privacy Policy explains how Better Sports Analytics ("Better", "we", "us", or "our") collects, uses, shares, stores, and protects information when you use our website, mobile application, backend services, and related support channels (collectively, the "Platform").
The Platform is designed for sports academies, academy owners, admins, coaches, players, guardians, and related staff. If you use the Platform through an academy, that academy may also be responsible for how it collects, enters, uses, exports, and shares information about its users.
1. Information We Collect
We collect information needed to create accounts, operate academy workflows, secure the Platform, and provide support. Depending on your role and academy configuration, this may include:
- Account and identity information: name, date of birth, gender, phone number, role, profile photo, academy, center, batch, and staff or player assignments.
- Authentication and session information: phone OTP verification status, Firebase authentication identifiers or tokens used to verify phone ownership, access tokens, refresh tokens, device identifiers, IP address, user agent, and session metadata.
- Player profile and academy records: age category, tier, jersey number, height, weight, preferred foot, leaderboard scores, setup status, kit handover records, enrollments, batches, plans, schedules, and coach assignments.
- Attendance and session data: session participation, attendance status, attendance confidence scores, session details, scheduled sessions, and attendance images where used by the academy.
- Photos and image data: profile photos, thumbnails, attendance images, payment proof screenshots, and image-derived recognition data used to support player identification and attendance workflows.
- Feedback, performance, and reporting data: coach feedback, correction notes, action tasks, skill metrics, skill history, achievements, leaderboard data, reports, and operational analytics shown to authorized users.
- Payment and plan data: registration plans, center plans, amounts, due dates, payment status, payment method, payment proof screenshots, approval history, and related descriptions.
- Communication and notification data: announcements, invite tokens, notification preferences, push notification tokens, notification titles, bodies, delivery status, and notification routing metadata.
- Support, diagnostics, and app data: support messages, crash reports, app version information, device and platform metadata, logs, error metadata, and troubleshooting information.
- Website data: basic contact form details, demo request information, browser and device information, and similar information you submit or that is generated when visiting our website.
2. How We Collect Information
- Directly from you when you register, verify your phone number, update a profile, upload a photo, submit payment proof, contact support, or use Platform features.
- From academies and authorized academy users who create invites, configure centers and batches, enter player details, mark attendance, add feedback, assign plans, approve payments, or manage records.
- Automatically from your app, browser, and device when you log in, use sessions, receive notifications, encounter errors, or interact with the Platform.
- From service providers that help us verify phone numbers, deliver push notifications, store images, process recognition workflows, monitor crashes, and host the Platform.
3. How We Use Information
We use information to:
- Create, verify, secure, and manage user accounts.
- Provide academy management features, including registration, centers, batches, plans, schedules, attendance, feedback, skill metrics, reports, announcements, equipment workflows, and user management.
- Support player recognition and attendance workflows using profile photos, attendance images, face detection, and confidence scores where configured.
- Show payment records, pending dues, payment proof, approval workflows, and related academy reports.
- Send in-app notifications, push notifications, reminders, app update notices, invite-related messages, and operational communications.
- Provide customer support, troubleshoot issues, improve reliability, monitor crashes, prevent abuse, and secure the Platform.
- Maintain legal acceptance records, audit trails, role permissions, session records, and compliance records.
- Improve, test, and develop Platform features, reporting, usability, and performance.
4. Photos, Face Recognition, and Attendance
For player accounts, the Platform may require a clear profile photo. Better may process profile photos and attendance images to detect faces, index player images, compare attendance images against academy-specific recognition collections, and produce automatic attendance suggestions, matches, or confidence scores.
For minor players, these photos and recognition workflows are processed only where the registering adult or academy confirms that the required parent or legal guardian consent and authority has been obtained.
These recognition workflows are used only for academy operations such as player identification, attendance marking, safety, and record accuracy. Recognition outputs may be imperfect and must be reviewed by authorized academy staff. We do not use player photos or face recognition data to sell advertising or for unrelated profiling.
5. Children and Guardian Use
The Platform may process information about players under 18, including profile photos and attendance images used for automatic attendance. When an under-18 player account is created, the person registering confirms that they are the parent or legal guardian, or have appropriate authority from the academy and guardian, and accepts the Terms & Conditions and this Privacy Policy on behalf of the player.
Academies are responsible for obtaining, documenting, and maintaining any additional permissions or consents required from parents, guardians, players, or staff before entering, uploading, or processing their information through the Platform. If consent is withdrawn, the academy or guardian should contact Better so we can assess deletion, deactivation, or alternative attendance arrangements, subject to legal, security, and operational retention limits.
6. How We Share Information
We share information only as needed to operate the Platform, support academy workflows, comply with law, and protect users. This may include sharing with:
- Your academy and authorized users: owners, admins, coaches, staff, players, or guardians may see information according to their role permissions and academy configuration.
- Service providers: hosting, cloud storage, authentication, push notification, image processing, crash reporting, analytics, email, support, and security providers that process information for us.
- Legal, safety, and compliance recipients: regulators, law enforcement, courts, advisors, or other parties where required by law or necessary to protect rights, safety, security, or Platform integrity.
- Business transaction parties: relevant information may be transferred if we are involved in a merger, acquisition, financing, restructuring, or sale of assets, subject to appropriate protections.
We do not sell personal information.
7. Third-Party Services
The Platform may use third-party services such as Firebase for phone authentication, Firebase Cloud Messaging for push notifications, Firebase Crashlytics or similar tools for crash reporting, AWS services for storage and image recognition, hosting providers, and other operational vendors. These providers process information under their own terms and privacy practices, and we use them to provide and secure the Platform.
8. Data Retention
We retain information for as long as reasonably needed to provide the Platform, maintain academy records, support attendance and payment histories, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and support business operations.
Some records, such as payments, attendance, legal acceptance records, audit logs, session records, and deactivation history, may be retained after account deactivation or deletion where required for operational, security, legal, accounting, or dispute-resolution reasons. Profile photos, attendance images, and derived recognition records may be deleted, replaced, or deactivated according to academy or guardian requests, account changes, operational requirements, and applicable law.
9. Security
We use technical and organizational safeguards designed to protect information, including role-based access controls, token-based sessions, scoped storage, signed URLs, authentication checks, and operational monitoring. No method of transmission or storage is completely secure, so users should protect their devices, phone numbers, OTPs, and account access.
10. Your Choices and Requests
- You may update certain profile and account information through the app where the feature is available.
- You may request correction, deletion, export, or access to information by contacting your academy or Better support. Some requests may need to be handled by the academy that controls the relevant records.
- You may disable push notifications through your device settings or in-app preferences where available. Some account, security, or operational notices may still be shown in the app.
- You may request account deletion or deactivation through the app flow or support channels, subject to retention required for legal, security, payment, attendance, dispute, or academy operational records.
11. International Processing
Information may be processed and stored in India or other locations where Better, academies, or our service providers operate. Where required, we use appropriate safeguards for cross-border processing and vendor access.
12. Updates to This Policy
We may update this Privacy Policy from time to time. If an update materially changes how information is handled, we may notify users or require acceptance of the updated policy before continued use of the Platform. The "Last updated" date above identifies the latest website version.
